ERP · Microsoft Dynamics 365 Business Central
One ERP for your finances and your operation
When every department runs on its own spreadsheet, the financial close drags on, inventory stops matching and leadership decides on stale data. Microsoft Dynamics 365 Business Central brings finance, purchasing, sales, inventory, projects, service, manufacturing and warehouse into a single system, and BETABOX implements it around the operation your company already runs.
Who it is for
Who Business Central is for
For midsize companies in Latin America and the United States that have outgrown their accounting system and need finance and operations working from the same information. This is a decision for the CEO, the CFO and the COO: they are the three roles that stop reconciling and start steering. ERP stands for enterprise resource planning — the system that records and controls the entire business, not just the accounting.
Signs you need it
- Your financial close depends on manually consolidating files that each department sends in.
- System inventory does not match the physical count, and nobody can point to where traceability was lost.
- You operate in more than one country, more than one company or more than one currency, and each operation is run separately.
- Your current system no longer receives updates, lives on your own server or depends on the one person who knows how it works.
- Management reports are assembled by hand and arrive after the decision has already been made.
- You grew through acquisitions or new business units, and several accounting systems now coexist without consolidation.
- Your team spends more time explaining differences between systems than analyzing the business.
Problems it solves
- A different version of the truth in every department
- Finance, purchasing, sales and operations each keep their own records. Every leadership meeting starts by debating which number is right instead of what to do about it. Business Central records the data once and shares it with every process that depends on it.
- A financial close that eats the first week of every month
- Manual bank reconciliations, adjusting entries and unidentified items turn the close into a monthly project. With accounting integrated into purchase, sales and inventory transactions, the close stops being a reconstruction and becomes a review.
- Inventory with no traceability and no reliable cost
- Without control by warehouse, lot or serial number, product cost is an estimate and the differences surface at the annual count. Business Central values inventory in step with every movement and lets you follow a lot or a serial from receipt through to the customer.
- Processes that depend on a person, not on a system
- Purchasing, production or invoicing work because someone remembers the right order of the steps. That is not a process: it is a continuity risk. Approval workflows and role-based permissions put the procedure inside the system instead of in an employee’s memory.
- Systems that do not talk to each other
- The accounting system, the sales tool, warehouse control and office software live apart, and someone bridges them by copying data. Every manual copy is a chance to introduce an error and an hour you never get back.
- A technology base that no longer keeps up with growth
- Legacy systems make it hard to open a company, a branch or a business line without turning it into a full project. Business Central is a cloud platform that expands through modules and extensions, with no need to reimplement from scratch.

Outcomes and KPIs
A predictable financial close
When purchase, sales and inventory transactions generate the accounting, the close stops being a manual reconstruction. The real effect is measured by comparing your current close with the close after go-live: we do not publish averages, because every company starts from a different place.
Suggested indicators
- Days to close the books
- Number of manual adjusting entries
- Bank items pending reconciliation
- Accounts receivable aging
Inventory you can trust and cost
Control by warehouse, lot and serial number, combined with cycle counts, turns inventory into a number you can base purchasing and pricing decisions on, instead of an estimate corrected once a year.
Suggested indicators
- Inventory accuracy
- Differences found during cycle counts
- Stockouts
- Days of inventory on hand
Less administrative rework
Information is entered once and travels through the whole process. The team stops copying data between systems and starts reviewing exceptions, which is where their judgment adds value.
Suggested indicators
- Errors caused by double data entry
- Order-to-cash cycle time
- Documents processed per person
- Vendor invoices pending entry
Decisions made on the same day’s data
With a single source of information, executive dashboards feed themselves and stop depending on someone assembling the report. Leadership debates what to do, not where the number came from.
Suggested indicators
- Age of the data on the executive dashboard
- Time between the event and the report
- Percentage of reports generated automatically
A platform that grows without being reimplemented
By solving most processes with standard functionality and isolating the specifics in extensions, opening a company, a branch or a business line stops being a full project.
Suggested indicators
- Percentage of processes covered by standard functionality
- Effort to review extensions at each update
- Time to bring a new company or branch onboard
How BETABOX works
We listen first, then we propose
The initial assessment is 100% free. We review your real operation, not the one in the manual: how you buy, how you sell, how you produce and how you close the month. That produces a scope with priorities, risks and the indicators the project will be measured against.
We design with your team and decide what gets customized
Together with the people who will use the system, we define which processes are solved with standard functionality and which ones justify an extension. Every exception is documented with its rationale, because every customization is a future maintenance cost.
We configure, migrate data and test process by process
We configure the company, chart of accounts, dimensions, warehouses and approval workflows; we migrate master data and balances; and we test every critical process with your own data before go-live, including the tie-out of accounting and inventory balances.
We go live alongside you and train by role
Training is built around each person’s process, not around a generic manual. We stay with you through the first closes and the first weeks of live operation, which is when the fine-tuning shows up.
We stay after the project ends
We provide 24/7 support with a response time under 1 hour, extension maintenance and guidance through the updates Microsoft releases on a regular cadence, so the solution keeps generating value.
Tracks by complexity

FAQ
Frequently asked questions
- What is Microsoft Dynamics 365 Business Central?
- It is Microsoft’s cloud ERP for midsize companies. It brings financial management, purchasing, sales, inventory, projects, service, manufacturing and warehouse together on one platform, with native integration to Microsoft 365, Power BI and the rest of the Microsoft ecosystem.
- How is it different from an accounting system?
- An accounting system records what already happened. An ERP governs the operation while it happens: the purchase order, the receipt, the inventory movement and the invoice are the same event recorded once, and the accounting follows from it. That is why inventory control, product cost and profitability by line stop being estimates.
- How long does a Business Central implementation take?
- It depends on scope, on how many companies and countries are involved, on the quality of the data being migrated and on your team’s availability. We do not publish fixed timelines: committing to a date before the scope is defined is the most common cause of cost overruns and rework. When the assessment closes, you receive a schedule with milestones and owners.
- Can we migrate from the system we use today?
- Yes. We handle migrations from accounting systems, in-house developments and earlier Dynamics versions such as GP, NAV and AX. We evaluate which history is worth migrating and which is kept for lookup, and we verify that accounting and inventory balances tie out before go-live.
- Does it work if we operate across several countries, companies or currencies?
- Yes. Business Central handles multiple companies, multiple currencies and financial consolidation, and it adapts to each country’s tax requirements with BETABOX’s hands-on support. During the assessment we review your legal entity structure and the current requirements in every country where you operate.
- How does licensing work?
- Microsoft licenses per user. Team Member covers lookup and approvals; Essentials covers finance, purchasing, sales, inventory, projects and customer relationships; Premium adds manufacturing and service management. We help you define the right mix and give you a quote with the terms currently available in your country.
- Can we customize it without losing updates?
- Yes. Whatever is specific to your operation is built as an extension, separate from the product’s standard code, so Microsoft’s regular updates do not break your work. Even so, we review every extension with every update: that is part of support, not a separate project.
- What happens after go-live?
- We continue with 24/7 support and a response time under 1 hour, extension maintenance, guidance through updates and a review of the indicators agreed at the start of the project. Adoption is sustained by measuring it, not by announcing it.
- Is it safe to run the ERP in the cloud?
- The platform runs on the Microsoft cloud, with role-based access control, authentication through Microsoft Entra ID, encryption and an audit log. The part that depends on your company — who accesses what, with which second factor and under which policy — is something we configure with you from day one of the project.
