Costa Rica

An ERP for companies growing through services, free zones and exports

Costa Rica combines expanding services companies, free-zone operations and exporters serving the United States. We implement Microsoft Dynamics 365 Business Central so finance, purchasing, inventory and projects work on a single record, adapted to the country’s tax requirements with BETABOX’s guidance.

How we serve you

Remote delivery with local support, backed by our headquarters in Miami, Florida.

Remote delivery, on your schedule
We work with companies in Costa Rica remotely, with meetings, workshops and training in your time zone and in Spanish or English. The engagement does not depend on travel or a local office.
Backed by our Miami, Florida headquarters
Our headquarters at 444 Brickell Avenue, Miami, concentrates project leadership and the relationship with Microsoft. From there we coordinate the regional network of consultants that serves each country.
Local support in Spanish and English
Support is delivered over WhatsApp and email by the same consultants who took part in your implementation. No intermediaries and no generic call centers.

Tax and regulatory requirements your ERP must cover

The Ministerio de Hacienda (Costa Rica’s tax authority) requires validated electronic invoices and periodic VAT and income tax returns. When the ERP records every transaction correctly, returns are prepared from data rather than spreadsheets.

Tax authority: Ministerio de Hacienda

Electronic invoicing
Electronic receipts (invoice, ticket, credit and debit notes, purchase invoice) in the current Hacienda version, with recipient acceptance.
VAT and Form D-104
Value-added tax by rate and type of good or service, with the monthly return built from purchasing and sales records.
Withholding and income tax (D-101)
Vendor withholding and the annual income tax return, with accounting information ready at the close of the fiscal period.
Free zones and special regimes
Operations under the free-zone regime with inventory, purchasing and sales separated by regime and reporting to the promoting agency.
Colón and dollar operations
Books in colones with dollar transactions (exports, services to the United States), central bank exchange rates and balance revaluation.

The topics above describe common obligations in the country’s regulatory environment and may change. During the assessment we review with you and your tax advisor which ones apply to your company and how they are covered within the project scope.

Record transactions in local currency and US dollars, value inventory and accounts in the currency you need, and consolidate several companies or sites into a single report.
Dimensions for local reporting
Classify every entry by cost center, branch, business line or project, and produce the reports local administration requires without parallel spreadsheets.
Interface and Copilot in Spanish and English
Business Central is available in both languages, and Copilot answers in your language about your own data: queries, summaries and suggestions without leaving the system.
Bank integration and traceability
Assisted bank reconciliation, statement import and full traceability of every entry for internal and external audits.
Extensible without breaking the standard
Country and company specifics are handled with extensions that coexist with Microsoft continuous updates, rather than customizations that block the system from evolving.

FAQ

Frequently asked questions

How is Hacienda electronic invoicing issued?
Business Central adapts to Costa Rica’s tax requirements, including electronic invoicing, with BETABOX’s guidance. During the assessment we review with you and your accountant which receipts your company issues and how they are covered in the scope.
Does it work for services companies that bill by project?
Yes. Business Central manages projects with budgets, time recording, associated purchases and billing by progress or milestones, with project margin visible before the close. It is one of the most common configurations in Costa Rica.
Do you serve companies in Costa Rica without a local office?
Yes. We work remotely with companies in Costa Rica, in your time zone and in Spanish or English, backed by our headquarters in Miami, Florida, and a regional network of consultants. Implementation, training and support are delivered through video calls, online workshops and direct support channels.
How long does a Business Central implementation take?
It depends on the scope, the number of companies and the quality of the data being migrated. We do not publish generic timelines: the complimentary assessment delivers a phased schedule with stated assumptions and agreed success criteria.
How does support work after go-live?
With 24/7 support and under 1 hour response time, over WhatsApp and email, handled by consultants who know your implementation. Every case is logged with a priority and followed through to closure.
Can I work in local currency and US dollars at the same time?
Yes. Business Central records transactions in multiple currencies, keeps historical exchange rates and reports in local currency and US dollars, with balance revaluation when regulation or management requires it.
Do you publish prices?
No. Every project is quoted according to its scope: number of users, companies, processes, integrations and data to migrate. The initial assessment is 100% complimentary and ends with a written proposal with scope and price.
